Job Description:
Executive Secretary Team leader

Job Purpose

In conjunction with secretarial role manage a secretarial team to ensure a timely and efficient service is provided at all times to relevant portfolios of technical staff

Typical Activities

* Workload management - monitor workloads within the secretarial team to ensure priorities are met to suit changing business needs
* Resource and absence management - ensure adequate resource and cover is provided for technical allocations by the team during office hours. Monitor and approve leave, timesheets, overtime and sickness and expenses
* Quality of service - ensure consistent quality of output from all team members. Implement and monitor local Service Level Guidelines
* Counselling - performance management of secretarial team members. Set and monitor progress against scorecard objectives
* Coaching - coach and develop the team members to enhance overall skills and identify both group and individual training needs
* Relationship management - act as the first point of contact for and work with technical staff on secretarial team effectiveness
* Teamwork - proactively work as part of immediate Secretarial Team Leader group to ensure consistencies in support levels are delivered and policies and procedures are adhered to

Skills and experience

* Extensive secretarial experience in a client-driven professional environment would be an advantage
* Excellent interpersonal skills with ability to build good team relationships
* Good level of communication skills - both written and oral
* Strong organisational skills with ability to prioritise an often conflicting workload
* Prior supervisory/coaching role experience preferable
* Ability to use initiative and problem solve
